Bar template

Shifts that cross midnight.

Wednesday to Sunday, last call at 02:30, out by 03:00. The interesting part is not the grid — it is that a 21:00-03:00 shift belongs to Friday, not Saturday, and most spreadsheets get that wrong.

One row per staffing slot; ×N means that many people on that block. Times are local to the location. +1 marks a shift that ends the following calendar day.

Use this pattern when…

  • Your close is after midnight and your spreadsheet keeps splitting one shift across two rows.
  • Weekend nights need a barback and a door, weekdays do not.
  • You want a template that already handles the day-attribution problem instead of discovering it on payroll day.

What to watch out for

  • Attribute the shift to the day it STARTS. A 21:00-03:00 Friday shift is Friday's labor cost, and if your weekly overtime boundary is Monday 00:00 a Sunday-night close spills into next week's hours.
  • Daylight-saving nights are genuinely 23 or 25 hours long. A 22:00-06:00 shift on the spring-forward night is 7 hours, not 8 — Weekwright computes it from the stored timezone rather than assuming.
  • Night-work rules bite here: many jurisdictions cap average night hours and require free health assessments. This is a per-jurisdiction compliance rule, not a scheduling preference.

From CSV to a live schedule

Three steps, no data entry.

The download is not a PDF you print and pin up. Its columns are the ones Weekwright's schedule importer reads, so the file you edit in Excel is the file you upload.

  1. 1

    Swap in your team

Replace the placeholder names in the Employee column with your staff. Leave Day, Start, End, and Position alone — those are what the importer maps.

  2. 2

    Upload it

Drag the file onto the schedule page. Every row is previewed with its detected columns before anything is created, so a bad cell is a warning, not a surprise.

  3. 3

    Tell the AI what changed

“Maya is off Thursday, cover it”. The agent repairs the week against your real availability, skills, and compliance rules instead of you re-editing the grid.
