Why the bill is per location rather than per employee, what each plan unlocks, how the trial works, and what happens when a payment fails.
You are billed per location
The quantity on your subscription is your number of locations. Headcount is not a billing input at all — hiring five people changes nothing about what you pay.
That is a deliberate choice rather than a pricing quirk. Hospitality and retail run high-turnover rosters, and a per-employee model charges you most in the month you are least able to pay it. It also means you can compare us like-for-like against the per-location incumbents instead of multiplying a seat price by thirty.
Adding or removing a location updates the subscription quantity automatically. That is the action that changes your bill; nothing you do with people does.
Current prices are on the pricing page — deliberately not restated here, because a number in two places is a number that goes stale in one of them.

The AI is on every paid plan rather than reserved for the top one. Charging most of our paying customers not to see the thing that makes the product worth having would be a strange way to run it.
The trial
Paid plans start with a 14-day trial and no card required. You get the full plan, not a limited preview, and if you do nothing at the end you are not charged — the subscription simply does not start.
Starter is not a trial. It is a real free plan with no time limit, and a single-location team of under twenty can stay on it indefinitely.
What happens at a limit
Limits are enforced where the action happens rather than by degrading the product quietly:
- Employee cap — inviting or re-activating past the cap is refused with an explanation. Existing people keep working; you are never locked out of a schedule you already have.
- Location cap — Starter is one location. Adding a second is an upgrade.
- Plan-gated features — asking the assistant to draft a week on Starter tells you it needs a paid plan rather than failing obscurely.
Only active members count. Seasonal staff set to Inactive between seasons do not consume a slot.
Managing the subscription
Billing lives under Billing and is Owner-only. Checkout and the customer portal are both Stripe — change your card, switch monthly to annual, download invoices, or cancel there. We never see or store your card details.
If a payment fails, the subscription goes past due and mutating actions are blocked until it is resolved. Reading is not: you can still see your schedules while you fix the card, because losing access to next week's rota over an expired card would punish your staff for your bank's decision.
Common questions
- What happens to my data if I downgrade or cancel?
- Nothing is deleted. Features above your new plan stop being available, and everything you created stays where it is and comes back if you upgrade again.
- Do you charge for managers?
- No. There is no per-seat charge of any kind — managers, admins and employees all cost the same, which is nothing.
- Annual or monthly?
- Both, per location, with annual cheaper per month. Switch between them in the Stripe portal.
- How do we set up SSO on Business?
- Send us your identity provider's SAML metadata and we register it, then give you a provider ID to paste into Settings. From that point your team signs in with 'Use single sign-on' and their existing membership, schedule and history follow them across. See Security and the audit log.
